1. Policy Statement
Electrical Wholesale Systems Ltd is committed to protecting personal data and respecting the privacy rights of individuals. This policy explains how personal data is collected, processed, stored, and protected in line with UK data protection law.

2. Scope
This policy applies to all employees, directors, contractors, temporary staff, and all trade sales branches of the company. It covers all personal data processed by the company.

3. Legal Framework
This policy is based on the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

4. Data Protection Principles
Personal data shall be processed lawfully, fairly, and transparently; collected for specified purposes; adequate and relevant; accurate and kept up to date; kept no longer than necessary; and processed securely.

5. Lawful Basis for Processing
The company will only process personal data where a lawful basis exists, including contractual necessity, legal obligation, legitimate interests, consent, or vital interests.

6. Data Subject Rights
Individuals have rights including access, rectification, erasure, restriction, data portability, and the right to object. Requests must be handled within statutory timeframes.

7. Data Security
Appropriate technical and organisational measures are in place to protect personal data from unauthorised access, loss, or disclosure.

8. Data Breaches
All personal data breaches must be reported immediately. Where required, breaches will be
reported to the Information Commissioner’s Office within 72 hours.

9. Third Parties and Processors
Third-party processors must provide sufficient guarantees that they comply with UK data protection law and must only process data under written agreement.

10. Training and Awareness
All staff must receive data protection awareness training and understand their responsibilities.

11. Monitoring and Compliance
Failure to comply with this policy may result in disciplinary action and legal consequences.

12. Policy Review
This policy will be reviewed annually or when significant changes occur.
